Publicizing Ohlone Events

 

There are several ways to get the word out about an Ohlone event that you are coordinating:

 

1. School Message Board

The Ohlone message board facing Amarillo street is generally changed each Friday at lunch. Messages should consist of as few words as possible: event name, date, and time (including AM or PM).

Request forms are available in the PTA mailbox (filing cabinet during the office remodel, at the end of the counter), located in the copy room in the Ohlone office. Completed forms must be submitted to this mailbox by Thursday at 2:00 PM AM for posting on the board the following day. Return completed forms to the folder provided.

 

2. Ohlone Arrow

The Arrow is a PTA-sponsored bi-weekly newsletter distributed in hard copy and electronically. You may write articles for the Arrow or submit requests for Calendar or reminder items and the Editor will include your event. 

Articles and reminders must be submitted by Friday at 3:00 PM prior to Thursday publication. There are NO EXCEPTIONS to the submission deadline.  The submissions overview and publication schedule for the Arrow, which is published bi-weekly, are attached.

 

3. Email messages

            School-wide email messages are sent out on a subject specific basis (e.g. volunteer requests, lice check reminders) by the Email Coordinator. Messages must be approved by either the Ohlone principal, PTA President, Site or Farm Council Chairs, or the Core Values Committee Chair prior to being sent to the Email Coordinator for distribution.             Email messages should be as brief and succinct as possible. The email moderator and leadership chairs reserve the right to limit the number of email messages per week that are sent out.

4. Classroom Information Boards

            Flyers and sign-up sheets can be posted on the information boards outside of classrooms, as well as the kiosk near the Ohlone office. Many parents, especially those entering the school from the south or west, are best served by postings at the classroom.

            Flyers should be as attractive and readable as possible. A reasonable number of copies (50 or less) may be duplicated on the Ohlone office copy machine.  NO FLIERS MAY BE TAPED TO OHLONE’S NEWLY-PAINTED WALLS.

 

5. Ohlone Website

            The Ohlone website serves as a communication tool both for the Ohlone community and to communicate the Ohlone philosophy and goals to the community at large.  Items may be submitted for inclusion on the website by emailing the PTA Communications contact, Carolyn Godfrey, at carolyn.godfrey@hp.net .

 

An example of publicizing an event at Ohlone:

Back-to-School Night Social.

1. 2 - 3 weeks prior to event: Send announcement to Arrow editor

2. 1 week prior – Post sign-up sheets to bring desserts on classroom bulletin boards

3. Friday prior to event – Complete form for listing on message board.

4. 3-4 days prior to event – Send email message to email moderator for dissemination.
